Marketing

SPONSOR understands that GSM may take photos and/or video of exhibit, sponsor sessions and sponsors participating in various event activities such as networking and communicating with attendees. These materials may be used by GSM for any marketing purposes and may be featured in materials including, but not limited to, brochures, programs, websites, press releases and email news. Sessions hosted by SPONSORS may be video or audio recorded for inclusion in a virtual pass. 

 

Promotional Activities

Activities such as receptions, breakfasts, dinners or any other activity involving attendees or other guests hosted by SPONSOR are not permitted during the conference without explicit GSM approval in writing. SPONSOR will inform GSM of any activity it wishes to host at GSMCON for consideration. GSM’s refusal of a SPONSOR’s proposed activity does not alter SPONSOR obligations under this agreement. 

 

Sponsor Code of Conduct

All SPONSORS are subject to the GSMCON Sponsor Code of Conduct. Violation of this code may result in action taken up to and including termination of sponsorship. 

SPONSOR understands that unlawful harassment or mistreatment of others is not tolerated at our event.

SPONSOR will not post malicious, misleading or unfair content about another sponsor or it’s employees during GSMCON or in relationship to the event. 

SPONSOR will demonstrate ethical integrity and respect toward attendees and other sponsors as a GSMCON sponsor.

SPONSOR will be respectful of exhibit space and stage time allotted to other sponsors and will not intentionally cause interference or disruption. 

SPONSOR will show proper consideration for the privacy of attendees, including upon request.

SPONSORS in physical attendance at the event must accept and follow the Terms & Conditions required during SPONSOR ticket registration. 

SPONSORS must make every effort to abide by the allotted times for their activities, speaking sessions and remarks.  

SPONSOR tickets included in sponsorship levels or added-on cannot be used to register regular attendees and can only be used for SPONSOR employees or contractors representing them.

 

Use of Attendee Contact Information

Certain levels of sponsorship may receive varying access to a pre-conference and post-conference Attendee List. Attendee List will not include event staff, contractors, sponsors and non-attendee volunteers. Attendee List will contain the following information provided to us during registration: attendee name, job title, agency or company, email address, state and country. This list does not offer telephone, fax or street address information. 

SPONSORS with access to the pre-conference attendee list may use it to contact attendees one (1) time before the event. 

SPONSORS with access to the post-conference attendee list may use it to contact attendees up to (3) times after the event. Attendees not currently on SPONSORS email or mailing lists must opt-in to receive further messages from SPONSOR. 

SPONSOR will not re-sell or share Attendee List with another entity. GSM will retain ownership of the Attendee List. SPONSOR must honor all opt-out requests from attendees or GSM.  

 

General Liability Insurance

SPONSOR understands that the venue may require general liability insurance as a condition of exhibiting.

 

Exhibit Space

This section applies to exhibiting sponsors. Each exhibit space includes one skirted table (6’ x 30”) and two chairs, although the exhibitor can decline the table and chairs if not needed. One electrical outlet and complimentary access to wireless Internet is provided. Other requests may be made for additional charge. Exhibit space is assigned based on the order the agreement was received and sponsorship level. GSM reserves the right to move or substitute exhibit areas if necessary. 

Height. Exhibit fixtures, components and identification signs will be permitted to a maximum height of 9′ from the ground. 

Set-Back. All display fixtures over 4’0″ in height and placed within 6 linear feet of an adjoining exhibit must be confined to the rear four (4) feet of the exhibit space to avoid blocking your neighbor’s visibility.

Displays & Signage. SPONSOR signage is limited to the assigned exhibit space. Tabletop and other displays, banners and free standing signage are welcome as long as it fits within the assigned exhibit space and does not interfere with any other sponsor exhibit. Table skirting is provided, but can be declined upon request. SPONSOR shall not affix or hang any material on the venue walls, columns, ceiling or flooring. Ceiling banners are prohibited. 

Damage to Property. SPONSOR is responsible for any damage it causes to any property of others, to the facility or the Gaylord Opryland Resort & Convention Center. Exhibitors, or their agents, must not injure or deface the walls, floors or pillars of the building, the booths or the equipment in, on, or intended for use in the booths. If such damage should appear, the exhibitor is liable to the owner of the damaged property.

SPONSOR has sole responsibility for any loss of its equipment or proprietary information, or any other loss, including any subrogation claims by its insurer. SPONSOR understands that exhibit space may not be secured and is not advised to leave any booth items or valuables unattended.

SPONSOR must comply with all applicable laws, regulations, ordinances in connection with its participation in the Event, including but not limited to rules of the venue, and the terms, conditions, and rules issued by GSM from time to time in connection with the Event.

GSM is not liable to SPONSOR for any damage, loss, harm, or injury to the person, property, or business of SPONSOR, or any of its visitors, officers, agents, employees, or other representatives, resulting from theft, fire, earthquake, water, unavailability of the Property or intermediate staging facilities, insufficient participation, accident, or any other reason in connection with the Event or any planning meetings, demonstrations, or stagings, except to the extent such liability arises directly from the willful misconduct of GSM.

SPONSOR agrees to defend, indemnify, and hold harmless GSM and those lawfully in the Property from and against any claim, loss, liability, or damage suffered due to: (i) SPONSOR’s construction or maintenance of an unsafe Exhibit, (ii) the negligence or misconduct of SPONSOR or its agents, and/or (iii) SPONSOR’s breach of any commitment made hereunder.

 

Exhibit Setup/Takedown

Specific times are allocated for setup and takedown of the SPONSOR materials in the exhibit area. SPONSOR agrees to abide by the established times. GSM reserves the right to make adjustments as necessary to conference programming, speakers, and schedule.
