The following Terms & Conditions apply to the purchase of attendee tickets for the Government Social Media Conference (GSMCON). Purchasers and participants must agree to the following Terms & Conditions by Government Social Media LLC (GSM). If you have any questions, concerns or comments about this policy, please call (888) 803-9401 or email email@example.com. Any changes to this policy will be posted.
Additionally, official GSMCON sponsors must follow the sponsor terms & conditions.
Your attendee ticket is transferable to another individual if you cannot attend. You must submit a Transfer Request Form by Thursday, March 28, 2019, and indicate information about your ticket and the person you wish to transfer the ticket to. There is no fee for ticket transfers. Email firstname.lastname@example.org to request the form.
Attendee ticket refunds and add-on workshop refunds may be issued. You must submit our Refund Request Form by midnight within the following timeframes. Email email@example.com to request the form.
Cancellation Request Submitted | Refund Eligibility
By December 31, 2018 | Registration fee refunded, less a $50 processing fee.
Between Jan. 1, 2019 and Feb. 28, 2019 | 50% of registration fee refunded.
After March 1, 2019 | No refunds, but transfers still allowed.
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, GSM and the event organizers cannot be held liable for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc.
In addition, the participant acknowledges that he/she has no right to lodge damage claims against the GSM and/or the conference organizers should he/she not be able to attend the event due to cancelled or delayed travel means caused by Force Majeure. With his/her reservation, the participant accepts this provision.
Under these circumstances, the conference organizers reserve the right to either retain the entire payment for registration, or to reimburse the purchaser after deducting costs already incurred and which could not be recovered from third parties. It is therefore recommended that you take out personal insurance. Travel insurance is not included and participants are therefore advised to take out their own travel insurance and to extend their policy to cover personal possessions as the conference does not cover individuals against cancellations or theft or damage to belongings.
TRAVEL CANCELLATION INSURANCE
If an illness, injury or another unexpected event forces you to cancel your plans before you leave, cut your trip short or delay your return home, you could lose your full prepayment for accommodations or registration. We therefore highly recommend to purchase a “travel cancellation and Interruption coverage insurance” in case of emergency as a financial protection.
We collect personally identifiable information such as name, email, mailing addresses, agency/company name, phone number and any other information provided on registration forms. GSM will email purchasers and participants information about their transaction and other communications about the event. Please note that attendees may receive communications from GSM and event sponsors. You may opt-out directly with the sender at any time. Please inform us if you have any issues with opting-out. Event photographers and videographers will be present at the event. By registering, attendees permit the use of their appearance in event photos and videos for use in any GSM promotional materials.
Credit card information is processed via a secure third party service, and no financial data is retained by Government Social Media LLC.
CHANGES TO PROGRAM
Speakers, topics and time slot changes may occur in the program. Government Social Media LLC will not be held liable for such changes, although we will make an effort to secure other speakers to participate in the program.
Non-sponsor attendees may not actively solicit services, products, or other business to any event participants, including passing out marketing material or arranging events. Vendors may register as official event sponsors or exhibitors. Sponsors and exhibitors are bound by the rules of the Sponsorship Agreement.
VIDEOTAPING / RECORDING BY PARTICIPANTS
No sessions or any part of the GSMCON program (including, but not limited to, general sessions, keynotes, award program and breakout sessions) may be video or audio recorded by any event participants (whether recording for personal use or for social media), unless explicitly given permission for a particular segment by GSM event organizers during on-stage announcements, via email or similar.
However, attendees may record or livestream original video, podcasts or interviews in other areas of the conference, or before the start of sessions or after sessions conclude, as long as doing so does not interfere with other participants or event operations.
CODE OF CONDUCT
In addition to the other Terms & Conditions, all attendees, speakers, sponsors, media and staff must show common courtesy to others and be considerate and respectful. GSM reserves the right to revoke, without refund, the badge of any attendee in violation of any of our Terms & Conditions. In addition to these Terms & Conditions, speakers and sponsors also have additional terms outlined in separate agreements.
Attendees are responsible for reserving hotel room nights on their own separately from our event registration. The hotel will have its own reservation, cancellation and reservation changes policy.
You confirm that you will participate in all of the GSMCON activities at your own risk. Accordingly, you agree to hold GSM, its committees, staff, contractors, and agents harmless against all injury that you might suffer at any time during this event.
VIRTUAL PASS DISCLAIMER
In addition to the general terms above, Virtual Pass purchasers and ticket holders must also understand and agree that:
Videos are not live streamed. Starting within 10 days after the event, we will begin to publish video, audio and supporting materials for viewing online. Videos are not downloadable. Virtual Passes are sold as-is. Videos will be hosted via Vimeo or similar service and available via password protected webpage. It is the responsibility of the purchaser to ensure their computer, internet connection and/or network are sufficient to watch the online videos.
Included. The Virtual Pass includes video recordings of most of the keynotes and general sessions. Starting in 2019, breakout sessions will be audio-only, edited with speaker slides. The virtual pass also includes access to download PDFs of speaker slides. Workshops are not included in the Virtual Pass. Access to 2019 Virtual Pass content is available online until February 1, 2020.
Refunds. Virtual Pass refunds are not subject to a processing fee. Virtual pass refunds will not be approved after March 28, 2019. Contact firstname.lastname@example.org to request the Refund Request Form. Should GSM be unable to make available the majority of the recordings of the event, GSM will initiate a refund of any Virtual Pass purchased. There will be no further remunerations or monies owed. Technical malfunction for any reason causing some recordings not to be published will not be cause for GSM to initiate a refund. No refunds will be issued under any circumstances for any Virtual Pass included for no cost as a part of an attendee registration.
Use. The Virtual Pass is for attendee use only and you do not have permission to share publicly or re-sell any of the Virtual Pass content. Access to 2019 Virtual Pass content is available online until February 1, 2020.
